With Love Events Limited – Terms and Conditions
1. Introduction
Welcome to With Love Events Limited. By booking our services, you agree to abide by these Terms and Conditions. These terms outline our obligations, your rights, and the conditions applicable to the services we provide, including but not limited to DJ services, photo booths, 360 video booths, dance floors, and food machines.
2. Definitions
โขClient: The individual(s) or company booking services with With Love Events Limited.
โขService(s): The entertainment offerings provided by With Love Events Limited, including but not limited to DJ services, photo booths, 360 video booths, dance floors, and food machines.
โขEvent: The occasion for which the Client has booked services with With Love Events Limited.
โขAgreement: This legally binding contract between the Client and With Love Events Limited.
3. Booking and Payment Terms
3.1 Booking Confirmation
โขBookings are only confirmed upon receipt of a non-refundable deposit amounting to agreed sum deposit on top within the total fee.
โขThe deposit is due within 4 days of the initial booking request to secure the Event date.
3.2 Payment Terms
โขThe remaining balance is due 7 days before the Event date.
โขFailure to make payment by the due date may result in cancellation of the booking, subject to cancellation fees (Section 4).
โขAccepted payment methods include [Bank transfer, credit card, etc.].
4. Cancellation and Refunds
4.1 Client Cancellation
โขCancellations must be submitted in writing by the Client.
โขCancellation fees:
โข โขCancellations made more than six months in advance: Loss of booking deposit.
โขCancellations made less than six months in advance: 25% of the total remaining balance, in addition to the loss of the booking deposit.
โขCancellations made less than six weeks in advance: 50% of the total remaining balance, in addition to the loss of the booking deposit.
โขCancellations made less than 21 days in advance: 100% of the total remaining balance, in addition to the loss of the booking deposit.
4.2 Company Cancellation
โขWith Love Events Limited reserves the right to cancel bookings due to unforeseen circumstances (e.g., equipment failure, staff illness, etc.) or events beyond our control (e.g., force majeure).
โขIn such cases, we will provide a full refund or offer alternative arrangements, subject to Client approval.
5. Service-Specific Terms
5.1 Wedding DJ Services
โขThe DJ will perform at the Event for the agreed duration as per the booking confirmation.
โขAdditional hours are subject to availability and may incur extra charges.
โขEquipment setup and takedown are included in the booking fee and will be handled by With Love Events Limited staff.
5.2 Photo Booth and 360 Video Booth Services
โขThe Client is responsible for ensuring sufficient space and power supply for the photo booth and/or 360 video booth.
โขWith Love Events Limited is not liable for photos or videos lost due to improper client-provided power supply or internet connection.
โขThe Client grants With Love Events Limited the right to use photos and videos taken at the Event for marketing purposes, unless otherwise requested in writing.
5.3 Dance Floors
โขThe Client agrees to provide a clean, flat, and accessible surface for dance floor setup.
โขAny damage caused by guests or the Client to the dance floor may result in additional charges.
โขSlip-resistant footwear is recommended, and With Love Events Limited is not liable for accidents caused by footwear or improper use.
5.4 Food Machines
โขFood machines, such as popcorn or cotton candy machines, require access to [specify power source] and an appropriate setup area.
โขThe Client assumes responsibility for any damage or loss to food machines due to guest misuse or negligence.
6. Client Obligations
โขThe Client shall provide With Love Events Limited with accurate event details, including venue location, setup time, and any specific requirements, no less than 14 days before the Event.
โขThe Client is responsible for ensuring venue compliance with safety regulations and fire codes.
โขThe Client must secure any necessary permits or permissions required for the Event.
7. Liability and Indemnification
โขWith Love Events Limited is not liable for injuries, losses, or damages caused by the misuse of equipment by guests or third parties.
โขThe Client agrees to indemnify and hold With Love Events Limited harmless from any claims arising from the actions or negligence of the Client or their guests.
โขWith Love Events Limited carries insurance coverage for our equipment and staff. However, we strongly recommend that Clients secure their own event insurance.
8. Use of Images and Media
โขBy booking With Love Events Limited, the Client consents to our use of images and media taken at the Event for promotional purposes.
โขIf the Client wishes to opt out, a written request must be provided before the Event date.
9. Governing Law and Dispute Resolution
โขThis Agreement is governed by the laws of the United Kingdom.
โขAny disputes arising under or in connection with this Agreement shall first be resolved through mediation.
10. Entire Agreement
This Agreement constitutes the entire understanding between the Client and With Love Events Limited and supersedes all prior agreements, representations, or warranties.
